Pre-payment, cancellation, no-show and fine print

By making a Reservation with a hotel , you accept and agree to the relevant cancellation and no-show policy of that hotel, and to any additional (delivery) terms and conditions of the hotel that may apply to your Trip (including the fine print of the hotel made available on our Site and the relevant house rules of the hotel), including for services rendered and/or products offered by the Hotel. The relevant (delivery/purchase/use/carrier) terms and conditions of a Hotel can be obtained with the relevant Hotel. The general cancellation and no-show policy of each Hotel is made available on our Platform on the Hotel information pages, during the reservation procedure and in the confirmation email or ticket (if applicable). Please note that certain rates, fees or special offers are not eligible for cancellation, refund or change. Applicable city/tourist tax may still be charged by the hotel in the event of a no-show or charged cancellation. Please check the (reservation) details of your product or service of choice thoroughly for any such conditions prior to making your reservation. Please note that a Hotel Reservation which requires down payment or (wholly or partly) prepayment may be cancelled (without a prior notice of default or warning) insofar the relevant (remaining) amount(s) cannot be collected in full on the relevant due or payment date in accordance with the relevant payment policy of the hotel and the reservation. Cancellation and prepayment policies may vary per hotel, product or service of each Trip.. Please carefully read the fine print (below the room types or at the bottom of each Hotel page on our Platform) and important information in your reservation confirmation for additional policies as may be applied by the Hotel (e.g. in respect of age requirement, security deposit, non-cancellation/additional supplements for group bookings, extra beds/no free breakfast, pets/cards accepted). Late payment, wrong bank, debit or credit card details, invalid credit/debit cards or insufficient funds are for your own risk and account and you shall not be entitled to any refund of any (non-refundable) prepaid amount unless the Hotel agrees or allows otherwise under its (pre)payment and cancellation policy.

If you wish to review, adjust or cancel your Hotel Reservation, please revert to the confirmation email and follow the instructions therein. Please note that you may be charged for your cancellation in accordance with the Hotel’s cancellation, (pre)payment and no-show policy or not be entitled to any repayment of any (pre)paid amount. We recommend that you read the cancellation, (pre)payment and no-show policy of the accommodation provider carefully prior to making your reservation and remember to make further payments on time as may be required for the relevant reservation.

If you have a late or delayed arrival on the check-in date or only arrive the next day, make sure to (timely/promptly) communicate this with the Hotel so they know when to expect you to avoid cancellation of your Trip (Reservation) or charge of the no-show fee. Our customer service department can help you if needed with informing the Hotel. Hotelroaming.com does not accept any liability or responsibility for the consequences of your delayed arrival or any cancellation or charged no-show fee by the Hotel.

Cancellation and Early Checkout Policy

Should your plans change, be sure to inform within the following guidelines for a refund of your deposit. A cancellation number will be given to insure proper return of the deposit. If the cancellation does not meet guidelines, the deposit will be retained.

For early checkout, you are responsible for the entire reservation and will be charged as such if the remainder of the reservation can not be rebooked. If unsure of the policy, contact the hotel for clarification.

Please note a multiple room reservation is added together for the total of "reserved nights". For example, two rooms reserved for four nights would be 8 reserved nights. For this example, the 8 reserved night's cancellation period is 14 days.

Refund Policy

When you cancel a booking and are entitled to a refund then we will instruct the refund right away. The processing will take between 2-4 weeks until the whole amount shows back on your credit card statement. Reasons for this are the billing cycle of your credit card company and processing time of the bank. The refund amount depends on numerous factors such as the hotel's cancellation policy, time of cancellation and processing fees. For more details see cancellation policy above.

In case a reservation that you make is not confirmed, we will not charge you anything on your credit card and release the whole amount that was held on it immediately. Now after we do this, it will still take a maximum of 2-4 weeks for the bank to process this and for the money to show back on your credit card.

Please note that “Refunds” will be done only through the original mode of payment.

Modification

We require 7 days before original arrival date for the amendment request. Any modifications are subject to availability at the time you make the request. Modifications made less than 7 days before original arrival date may be liable for the fees as a result of the late modification.

Non-arrival to the Hotel (No Show)

If you fail to arrive at the hotel on the arrival date the entire reservation will be cancelled automatically by the hotels and you will be charged the cost of the whole reservation.

If you fail to check in on the first date but still continue your travel plan to stay at the hotel, please urgently contact us so that we can keep the room for you for the rest of the nights. Otherwise as mentioned above, the entire reservation will be auto-cancelled and no refund will be issued.

Shorten Stay (Early check-out)

Shorten stay is subject to whole period charge whether or not you stay the whole period. If you know that you are changing your plan, please contact us as early as possible to minimize the charge by the hotel.

Voucher

At the time the reservation is confirmed, we issue a confirmation number and voucher that you can print out.

It is very important to present the confirmation voucher to the hotel upon arrival. Failure to produce the confirmation at check-in may result in the hotel not honoring your reservation or failing to trace the record.

Payment Security

It is important for you to know that whenever you provide us with personal details or credit card information, it is secure. Your credit card number, name, address, and telephone number are protected by the latest security technology. Upon checkout, your credit card information is directly transferred to the bank and securely tested.
